Corporate Event Planning in Vietnam: A Practical Guide for Regional Teams
Plan a corporate event in Ho Chi Minh City or elsewhere in Vietnam with clear decisions on objectives, venue, production, content, suppliers and risk.

Producing an event in a new market is easier when strategy and local execution are handled as one process. Regional teams need more than a list of suppliers: they need a local production partner who can translate the business objective into a workable venue, guest journey, content plan and show operation.
Begin with the decision the event must influence
A kick-off, leadership summit, distributor conference and product launch may use similar equipment, but they should not have the same agenda. Define what the audience should understand, feel and do after the event before discussing stage design.
- ✓Who is the primary audience and what do they already know?
- ✓What business message must be retained?
- ✓What action should happen during or after the event?
- ✓How will the team recognise a successful outcome?
Choose a venue from the production backwards
Capacity is only the first filter. A venue must also support the intended stage footprint, ceiling height, rigging, loading access, power, sound restrictions, rehearsal hours and guest arrival pattern.
Ask for a technical visit before final confirmation. A cheaper room can become expensive when additional power, structures, transport or overtime are required.
Build one integrated production schedule
Content deadlines, fabrication, technical design, permits, rehearsals and speaker preparation are interdependent. Maintain one master schedule with an owner and approval date for each item.
- ✓Brand and content approval
- ✓Venue and supplier confirmation
- ✓Stage and technical design freeze
- ✓Video, presentation and playback deadline
- ✓Technical rehearsal and full show rehearsal
- ✓Guest communication and final attendance
Plan for local realities
Allow time for traffic, loading access, supplier delivery windows and venue rules. Outdoor events need weather and drainage plans. International speakers need clear technical instructions and a backup route if travel or connectivity changes.
What to include in an agency brief
Share the objective, audience, expected attendance, preferred date, city, duration, required languages, mandatory brand elements, decision process and budget range. A transparent budget range helps the agency recommend the right scale instead of designing an option that cannot be delivered.
