A polished proposal does not always reveal how an agency will perform under real venue, supplier and approval constraints. Procurement, Marketing and HR teams should compare agencies using the same brief and evidence-based questions—not only total price or a moodboard.

1–3. Can the agency connect the event to a business outcome?

Ask how the concept changes what guests understand, feel or do. Request relevant case studies and clarify the agency's actual role. The proposal should explain audience logic, not just visual style.

  • ✓What audience behaviour is the concept designed to create?
  • ✓Which comparable projects did the proposed team deliver?
  • ✓How will success be measured and reported?

4–6. Is the scope commercially comparable?

Require quantities, specifications, operating hours, taxes, exclusions and assumptions. Confirm whether venue, content, technical production, staffing, transport and overtime are included. A lower headline price may simply contain fewer deliverables.

  • ✓What is excluded or provisional?
  • ✓Which changes trigger additional cost?
  • ✓Who controls third-party suppliers and venue coordination?

7–9. Who is accountable when conditions change?

Identify the producer and show caller before appointment. Ask for the approval schedule, rehearsal plan and incident process. Strong agencies make responsibilities visible and offer alternatives early when a preferred venue, supplier or date is unavailable.

  • ✓Who has authority on show day?
  • ✓What backup systems and incident plans are included?
  • ✓When will final assets and the post-event report be delivered?

Use one scorecard for the shortlist

Score strategic understanding, local feasibility, team experience, scope completeness, risk control and price transparency. This creates a defensible decision and prevents visual preference from outweighing delivery capability.
